I am set up as the administrator, my son is not. Yet when
he logs on he can access my files, and i am unable
to 'check' the make files private box. The option
is 'greyed' out

Shared Documents are - as the name says - available to all users.
Store the daa in your personal MY DOCUMENTS folder.
